Human Resources Assistant!
R&W Group is recruiting on behalf of our large law firm client in DC for a talented Human Resources Assistant with 1-2 years of HR experience (including internships). This HR Assistant position plays a critical role supporting the operational functions of the department and providing administrative support to all members of the human resources team to ensure operational efficiency and excellence. The HR Assistant provides tactical support in the recruitment and onboarding of all new hires, maintains accurate data in all HR systems and files, assists with the planning and execution of employee events, and assists with the performance evaluation process. In addition, the Human Resources Assistant is the primary point of contact for the department with both internal and external clients.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Creates and maintains all employment, I9, benefits and recruitment files, as well as events and vendor files for the department.
Maintains records retention schedule for all employment, I9, benefits, and recruitment files.
Assists with compliance mailings and/or reporting as needed.
Prepares and submits check requests for invoices, processes expense reimbursements and tracks HR expenses against budget.
Tracks and updates Leave of Absence timesheets; coordinating with Benefits and Payroll as needed.
Coordinates with Benefits and Payroll Drafts communication material for Human Resources department as needed.
Prepares benefits termination packages.
Responds to requests for verification of employment and coordinates with Finance and Payroll as needed.
Provide customer service to internal and external customers responding to requests or inquiries in a timely and accurate manner
Prepares compensation change letters and Wage Theft Prevention Notices for all pay changes.
Distributes, monitors and files 30-day and 90-day evaluations.
Responsible for updating hires/departures in all assigned vendor related systems.
Assists with planning, coordination and execution of staff events including Firm Breaks, Staff Appreciation & Retirement Celebrations and all Benefits sponsored events.
Manages the Milestone Anniversary program; coordinates gift payments and orders.
Assists in the coordination of with Firm’s charitable, pro-bono and diversity initiatives.
Recruitment & Onboarding:
Assists with the drafting of job postings for open positions.
Posts positions on internal and external employment websites.
Assists in scheduling interviews and escorting candidates to interviews.
Initiates skills testing of applicants and forwards results to HR Recruiter and hiring manager.
Collects and shares interview evaluation forms for candidates.
Maintains recruitment database and assists with updating applicant status and final disposition codes as directed.
Performs reference and background checks on selected candidates.
Prepares new hire welcome packets, schedules orientation with all administrative departments and hosts new hire orientation, including office tours, as directed.
Publishes Change of Status notices as directed.
Other Duties and Responsibilities:
Conducts special projects and other duties as assigned.
MINIMUM QUALIFICATIONS
Knowledge/ Skills/ Abilities:
Proficiency in MS Office applications including Outlook, Excel and Word.
Excellent spelling, grammar and written communication skills.
Excellent oral communication skills as necessary to communicate and coordinate with others on routine but varied issues and work effectively across all levels of the organization.
Excellent organizational skills, including attention to detail and the ability to work effectively in an atmosphere of multiple projects, shifting priorities, and deadline pressure.
Ability to maintain a high level of confidentiality and professionalism.
Education:
Bachelor’s degree required; HR or Business Management concentration preferred.
Experience:
1-2 years previous work experience in HR preferred.
