LEGAL SECRETARY POSITION!
R & W Group has a great opportunity available for a tech-savvy legal secretary who has excellent experience and tenure in a large law firm setting. This legal secretary will provide legal administrative and secretarial support to attorneys and other legal personnel and coordinate and maintain effective office procedures and efficient work flow. A legal secretary who can represent the firm and assigned practice group with the utmost professionalism and build excellent working relationships with staff at all levels.
Duties and responsibilities include:
Coordinate domestic & foreign travel arrangements by securing air, hotel, rail and car reservations for attorneys and clients; prepare travel expense reports using electronic accounting system and prepare itinerary for attorney and colleagues
Handle reimbursement of other firm and client related expenses, such as telephone calls, entertainment, recruiting, etc, using electronic accounting system
Maintain calendar of meetings and appointments, and apprise attorneys of responsibilities in advance of commitment.
Receive, screen and transmit telephone calls to attorneys and take messages as necessary
Facilitate work with Billing Department to coordinate client bills, generate monthly internal utilization reports, provide monthly and/or quarterly estimate reporting data, analyze billing data, and respond to miscellaneous client inquiries/requests. Process new client/matter reports and conflict of interest checks
Perform other job-related duties such as processing new business forms, new client/matter reports and conflict of interest checks, compiling notebooks and exhibits, and preparing documents in connection with bar association activities. Also, perform other administrative tasks as needed
Input daily diaries for attorneys in computerized Time Billing System, and proofread and edit time diaries for accuracy
Proofread and revise all documents, including engagement letters, PowerPoint presentations, memoranda, audit letters, client deliverables, and other correspondence, etc., for accuracy of copy, grammar, punctuation and syntax, and drafts correspondence as requested
Coordinate work performed by Support Services for prompt production and delivery of documents
Process incoming and outgoing mail according to attorney's guidelines and distributes promptly upon receipt
Review practice group business periodicals for relevant articles and distribution. Retrieve cases and other related legal documentation from the library and make copies
Prepare legal papers and correspondence such as briefs, letters, memoranda, tables, charts/spreadsheets, complaints, and motions. In addition, must know how to generate Table of Contents, using Microsoft Word, Table of Authorities and redline documents.
Required:
High School Diploma or general education degree (GED)
3+ years of related work experience and/or training; or equivalent combination of education and experience
Proficiency in MS Office, Adobe Acrobat, legal terminology and formats (legal documents)
Preferred:
Bachelor’s degree
Law Firm Experience
Basic Knowledge of PowerPoint and Excel
